04 / 12 · Quotes, invoices and payments
Quote it, win it, bill it, get paid — with the VAT right first time.
Quotes turn into jobs, jobs turn into invoices, and payments close the loop, without retyping a single line.

In detail
Quotes customers can accept online
- Build quotes from labour, materials and other lines, with a valid-until date (30 days by default).
- The two-thirds VAT rule suggests 23% or 13.5% as you build; staff can override it, including 0%.
- Send with the PDF attached and a secure accept link. Quotes expire automatically after their date.
- Customers accept online by typing their name and picking a preferred day, morning or afternoon — or they ask for changes. Your team is told either way.
- Accepted quotes land in the Need Dispatch queue, ready to schedule. Revise any quote as a new draft in one click.
Invoices that add up
- A draft invoice is prepared automatically for every priced job, and standalone invoices are one click away.
- Line items for labour, goods and other costs, with nominal codes, line discounts and a whole-invoice discount before VAT.
- Issued invoices are locked. Corrections go through a credit note, so your records stay clean.
- Deposit invoices that net off the final bill, customer credit applied to later invoices, and copies of past invoices.
- Consolidated invoicing: bill several jobs for one customer on a single invoice.
- Progress billing for long jobs: FieldFlow suggests the amount earned so far, minus what has already been invoiced.
- Professional A4 PDFs with your logo and payment details, your own numbering format and payment terms (30 days by default).
- An invoice ledger with search, status filters — draft, sent, part paid, paid, overdue — and the total outstanding.
Getting paid
- Bank transfer: the office sees whether a payment matches, exceeds or falls short of the balance, and approves it in one step. Approval marks the invoice and job paid and updates the job’s profit; an overpayment becomes customer credit.
- Card: Stripe’s secure hosted checkout from the invoice’s pay page, settled automatically when Stripe confirms the payment. Part-paid invoices ask only for the remainder.
- A shareable pay link that goes straight to card checkout.
- Every invoice, email and PDF shows the balance left to pay, never just the original total.
