Inspect, report, repair, approve — one app for every property you manage.
FieldFlow KPA (Key Property Assessment) gives letting agencies a branded inspection app for their rental portfolio. Inspectors work on a tablet or phone, even offline. Owners approve reports and repairs from their own login. Maintenance found on an inspection becomes a real job with A1 Tradesmen, and its progress shows back in the app.

In detail
Inspections that hold up
- Eleven report types, including inventory, check-in, mid-term, check-out, legionella, risk assessment and HHSRS.
- A structured, room-by-room checklist: external, living areas, kitchen, bathrooms, bedrooms, health and safety, detectors, fire doors, meter readings and a conclusion.
- Notes and up to 3 photos on every question. A “poor” or “needs repair” answer prompts a photo and an issue on the spot.
- Smoke, CO and heat detector tests with expiry dates, and meter readings with photos.
- Signature pad with the clerk’s name.
- Autosaves as you go. If two people change the same answer, nothing is silently overwritten — you see both and choose.
- A branded A4 PDF report with photos, emailed to up to 5 recipients.
A clear approval trail
- Every report moves from scheduled to in progress, submitted and approved — or back with “changes requested” and a reason.
- Approved reports are locked, and can be shared with the tenant.
- Deleted reports go to a recycle bin and can be restored.
From issue to repair
- Raise an issue from a report question, add one by hand, or let tenants report a problem with photos.
- The Issue Manager sorts every issue into queues: open, awaiting action, in progress, awaiting client approval, to send to A1, and closed.
- Send an issue to A1 Tradesmen with the trade, instructions and priority. The owner approves, rejects or asks for changes.
- Approval creates a job in A1’s dispatch queue, complete with photos and access notes. Urgent issues alert A1 straight away.
- Progress flows back — job number, scheduled date and technician — and the issue closes itself when the job is done.
Compliance and FFHH
- The Compliance Manager tracks 14 items per property, including EPC, gas, electrical, PAT, legionella and detectors, with certificate uploads.
- Each item shows Compliant, Coming up (expires within 60 days), Non-compliant (expired) or Required.
- The FFHH (Fitness for Human Habitation) Manager ranks properties by open At Risk and High Risk issues across nine categories, including damp and mould.
- Generate a one-page FFHH statement as a branded PDF — a record of reported issues, not a structural survey.
Appointments and mid-terms
- Book visits with an inspector, date and time, and notify the tenant. List and calendar views.
- Inspectors open a Today screen with their visits and the report they were working on.
- The Midterm Manager works out the next visit from the last approved report and the property’s cycle (30 to 365 days), and flags what is coming up or overdue.
Owners, tenants and messages
- Four roles: manager, inspector, owner and tenant. The agency creates every login, by invite link or temporary password. No seat limits.
- Owners see only their own properties: reports, compliance, documents and repair approvals.
- The optional tenant app shows the next inspection, messages, shared documents and helpsheets, and lets tenants report issues with photos. Tenant access ends automatically when the tenancy does, with a 7-day warning to the agency.
- Per-property messaging with tenants or owners, plus helpsheets you can replace with your own.
- A document vault for each property, with a switch to show any document on the tenant app.
The agency office view
- The KPA area of the customer portal gives the agency office an overview dashboard, property hub, Issue Manager, approvals, appointments, compliance, FFHH, documents, messages, mid-terms, audit log and recycle bin.
- Every dashboard tile opens the exact list it counts, and every list exports to CSV.
Privacy and branding
- The agency’s own logo and colour on the sign-in screen, headers, PDFs and emails.
- Owner and tenant contact details are stored encrypted and shown only on request; every reveal is logged.
- Owners and tenants can be erased on request under GDPR, while report history is kept anonymised.
- Every property is set up as a site with A1 Tradesmen automatically, so repair jobs always go to the right address.
